Setup Passpaw to streamline certificates preparation in VEHCS

The USDA processes certificates based on the travel date and the destination country’s timeline, not the order in which they are received.

Add VEHCS email addresses

These are the email address(es) that you would like to receive ALL notifications from VEHCS regarding your submissions.

Should you wish to include it, Passpaw's VEHCS email is [email protected].


Optional: Add VEHCS Organization ID

If your practice uses a single VEHCS Organization ID for all veterinarians, you can provide that number in the General Settings. Passpaw support will use this number should your practice ever require assistance. The number can be found in the top right hand corner of the VEHCS page.


Step 3: Install the VEHCS Assistant Browser Extension

Next, select the Browser Extension tab to install the VEHCS Assistant browser extension.


VEHCS Assistant: Streamline Certificate Creation in VEHCS

The Passpaw VEHCS Assistant is a browser extension that allows the practice to seamlessly create certificates in the VEHCS, saving you more time in the health certificate process.

When you click Install, it will take you to the Browser's extension store.

Click to install. If asked, click Add Extension


Prepare the Certificate on VEHCS

This task will allow you to use the VEHCS Assistant to create the certificate in VEHCS.

Step 1: Log in to VEHCS and the Passpaw VECHS Assistant browser extension

Step 2: Find the application for which you which to generate the VEHCS certificate


NOTE: Passpaw CANNOT submit the application on your behalf, the practice will need to review all details, ensure all required documents are uploaded, and the examining veterinarian must complete the submission.


Review the Certificate in VEHCS (Veterinarian/Organization VEHCS Account)

The USDA accredited veterinarian or any member of the Organization (practice) can view and modify the VEHCS Certificate. All fields and attachments in the certificate can be modified. The documents attached in the VEHCS certificate are the same as those in the Packet generated in the Health Certificate Task

Only the veterinarian that performed the exam can submit the certificate to USDA.


The certificate will appear in in the Organization VEHCS account as a “Work in Progress”


Payment Method:

The certificate cannot be submitted until the endorsement fee is paid. Passpaw does not include endorsement fees.


Comments:

If needed, enter comments for the USDA Veterinary Medical Officer in the Comment box.


Notification Email Addresses:

By default, Passpaw’s email address, and those listed in the settings (VEHCS email addresses) will populate as the notification email addresses.

Submit Certificate (Examining USDA-Accredited Veterinarian)

The USDA accredited veterinarian must log into their VEHCS account in order to review and submit the certificate to the USDA. Only the veterinarian that performed the exam can submit the certificate.

After reviewing the certificate, the veterinarian must confirm all the certification statements presented by checking the boxes. Once confirmed, they can submit the certificate.
